Legal
Privacy Policy
Last updated October 19, 2026
This policy explains what [LEGAL ENTITY NAME] (“EC Takeoff”, “we”) collects when you use ectakeoff.com, what we do with it, and the choices you have. The short version: we collect what we need to run the Service, your drawings stay yours and stay confidential, we do not sell personal information, and we do not use advertising or tracking cookies.
What we collect
- Account details: your email address and password (stored only as a secure hash), and the company details you add in Settings for your proposals.
- Your Content: the drawings, specifications, price sheets and other files you upload, and the projects, takeoffs, estimates, quotes and proposals you create.
- Billing details: your plan and billing status. Card details are collected and held by Stripe; we never see your full card number.
- Messages: what you send through the contact form or ask the in-app assistant.
- Technical data: request logs kept by our hosting providers (IP address, browser and pages visited), and reports of errors the app hits, so we can fix them.
How we use it
- to provide the Service: reading your drawings, producing your takeoffs and estimates, and keeping your work saved;
- to run your account and subscription, and send the emails it needs (sign-in, trial ending, receipts and billing notices);
- to answer you when you contact us, and to fix problems and keep the Service secure;
- to meet legal and tax obligations.
We do not sell or rent personal information or Your Content, we do not use them for advertising, and we do not share your drawings with other customers. What the Service learns from your drawings (for example, the symbols you teach it) stays in your account.
Your drawings are confidential
Bid drawings are often confidential. Your Content is stored privately, each account can see only its own projects, and files travel over encrypted connections. We look at Your Content only to provide or support the Service — for example to fix a problem you report, with your permission where practical — to keep the Service secure, or when the law requires it. Ownership stays with you, as our Terms of Service say.
Who processes data for us
We use these service providers (“subprocessors”) to run EC Takeoff. Each handles data only to provide its service to us, under its own security and confidentiality commitments, and some may process it in the United States or other countries.
| Provider | What it does for us | Data it handles |
|---|---|---|
| Vercel | Hosts the website and application and runs its server code. | All data passing through the app, and request logs (IP address, browser, pages). |
| Supabase | Database, file storage and sign-in. | Your account, your uploaded drawings and files, and everything you make in the app. |
| Render | Runs the drawing-reading service that finds symbols, text and runs on your sheets. | The drawing pages being read, while they are read. |
| Stripe | Subscriptions, payments, invoices and the billing portal. | Your name, email, billing address and payment card (held by Stripe, never by us). |
| Resend | Sends email: sign-in links, trial and billing notices, and replies to the contact form. | Your email address and the message. |
| Anthropic | Answers questions asked of the in-app assistant. | Your question and a short summary of the project (its name, file names and progress), never the drawing files. |
Anthropic’s commercial terms do not allow it to train its models on what the assistant sends it. We may also disclose information if the law requires it, or to a buyer of the business, who would remain bound by this policy.
Cookies and browser storage
We use only the cookies needed to keep you signed in (set by our sign-in provider, Supabase). There are no analytics, advertising or tracking cookies, so there is no cookie banner to accept. The app also keeps a few preferences in your browser’s own storage — such as your recent projects, the estimate columns you show, or whether you dismissed the getting-started guide — which never leave your device. When you pay, Stripe’s checkout and billing pages set their own cookies to prevent fraud, under Stripe’s privacy policy.
How long we keep it, and deleting it
- Your Content and account are kept while your account exists, including after a trial or subscription ends (the account becomes read-only), so you can come back to your work.
- Deleting a drawing or project in the app removes it from your account.
- To delete your whole account, email [CONTACT EMAIL] from the address you signed up with. We will delete your account, projects, drawings and files within 30 days; copies in our providers’ backups are overwritten on their normal schedule, within a further 30 days.
- We keep billing records (invoices and payments) as long as tax and accounting law requires, and server logs for a short period set by our hosting providers.
Your rights
You can see and change most of your information in the app, and export your work. You can also ask us for a copy of the personal information we hold about you, to correct or delete it, or to object to how we use it; depending on where you live (for example California or the EU/UK), you may have these rights by law. Email [CONTACT EMAIL] and we will answer within 30 days. We will not treat you differently for asking.
Security
We use encrypted connections, private storage with per-account access rules, and access controls on our own systems. No service is perfectly secure; if a breach affects your data we will tell you without undue delay.
Children
EC Takeoff is a business tool for adults and is not meant for anyone under 18.
Changes
If we change this policy we will update the date at the top, and email you before any change that materially affects how we use your information.
